Ending an academic year

The summary Sijil shows first, what the archived year keeps, and re-running a step that failed.

The academic year is the frame every register and every fee row hangs on. Attendance can only be marked inside a running year, on a date that falls within it — so a madrasa with no year running cannot mark a register at all, and a day inside a year that has been closed cannot be marked or corrected afterwards.

That makes this the most consequential screen in the madrasa, and it is built to be read slowly. Two actions here cannot be undone, and each one asks you to type a word first.

What the page shows you

The audit runs by itself when you open the page — it only counts, it changes nothing — so by the time you have finished reading, the page already knows whether the year can be closed.

The fee audit covers this year only, and says so: Sirf {sessionName} ke fees records shamil hain; purane saalon ki fees is audit mein nahi hain. It also reconciles out loud rather than leaving you to check the arithmetic — what was billed gross, what came off as discount, what was waived, and what was left to collect.

What blocks the close, and what does not

The two audits do not carry the same weight, and the difference is deliberate:

A malformed fee row is a blocker because the archive is meant to be arithmetic somebody can still trust in four years; a row whose paid amount and status disagree would be sealed in that state forever. Missing attendance is not a blocker, because a day nobody marked is a real thing that happened in a real madrasa, and refusing to close the year would not put the children back in the room.

What to do with the empty days

When gaps exist, closing moves to a second sheet — Taleemi saal foran khatam karein — which offers exactly two choices and refuses to pretend either one is free:

  • Khali jagahein khali hi rakheinYeh sach hai, lekin is saal ki hazri hamesha adhoori nazar aayegi.

Sijil then records which of the two you chose. A year closed over gaps carries Adhoori hazri ke saath khatam kiya gaya in the history band forever, so a future reader knows the shape of what they are looking at.

The words you have to type

Three actions on this page ask for a literal word before they will run, and the check happens on the server, letter for letter:

Because the check is byte-for-byte, the word cannot be translated — for a Mohtamim reading Urdu it is a few Latin letters copied off the screen, and the field uppercases as you type so Caps Lock cannot spoil it. END SESSION has a space in the middle, which the sheet says out loud. The field lives inside the sheet, so a word typed and forgotten cannot leave a red button armed behind you.

While the year is being sealed

Closing does not happen inside the button press. Sijil queues the work and reports it in stages — Qataar mein, Copy aur jancha ja raha hai, Aakhri tasdeeq, Seal, then Mehfooz ho gaya — and it does not need you present: Aap safha refresh, band ya kisi aur safhe par ja sakte hain. Kaam server par jari rahega. Come back and the page picks the same run up where it was.

If it fails, it fails clean. Nothing half-sealed is left behind — Koi namukammal record mehfooz nahi hua, and where a step had already begun, Tamaam tabdeeliyan wapas kar di gayi hain. The band then offers Dobara koshish karein, which is the right response to a failed close; the year is still running and still yours to close.

That asymmetry is the one thing worth carrying away from this page. Attendance is a statement about a specific morning that has passed, so Sijil closes it. Money owed is a live fact that outlives the calendar, so fees stay open and record their own corrections instead.

Starting the next year

Naya taleemi saal shuru karein asks for two things. The name is a label and nothing more — Yeh naam har record par nazar aayega — so write what your madrasa calls the year. The first attendance day must be tomorrow or later: Aaj ki tareekh nahi — {day} ya us ke baad ka din chunein.

The sheet also explains what the new year does to fees, because that surprises people: billing begins in the month the new year starts, the closing year is treated as ending the month before, and fees already collected in that month still show as collected in the new list. Nothing is billed twice and nothing is lost.
